Position Summary
International Business and Technical Consultants Inc. (IBTCI) is currently looking for a dedicated**Office Manager** to maintain a five-year project funded by USAID which is based in Accra, Ghana. The Office Manager will be hired for the duration of the project and will support IBTCI by overseeing all office operations and maintaining efficiency in the workplace. The position is only open to current residents of Ghana.
Responsibilities
· Support the management team with logistics around visitors, office meetings and trainings.
· Provide administrative support to management team and other staff.
· Schedule and organize activities such as meetings, travel, bookings for hotels, airport pick up, conferences and department activities for all team members.
· Purchase and store supplies so that office necessities are readily available.
· Handle incoming and outgoing mail, faxes, and deliveries.
· Answer phones and emails in a professional and timely manner.
· Organize office trainings when necessary.
· Maintain both hard and soft (electronic) Filing system following company protocols.
Maintain management tools and logs to communicate current status of operations to senior staff.
· Adhere to all IBTCI and USAID standard operating procedures.
Qualifications
· Bachelor’s degree or equivalent experience.
· Minimum 10 years of related experience, preferably with USAID contracts or international organizations.
· Strong interpersonal skills.
· Excellent written and verbal communication skills.
· A high degree of proficiency with Microsoft Windows, Word, and Excel.
· Effective time management and planning.
· Fluency in French not required but an added benefit.
