Overview: IBTCI is seeking an Administrative Assistant to perform a variety of administrative services/functions for an anticipated support services contract for the Africa Center for Strategic Studies (ACSS) under the Defense Security Cooperation Agency (DCSA). The Administrative will plan, coordinate and execute VIP visits, meetings, programs and office calls. This position is contingent upon award.

Essential Duties/Tasks and Responsibilities:

· Plan, coordinate and execute VIP visits, meetings, programs and office calls.

· Schedule and organize complex activities including meetings, travel, conferences and department activities for department members.

· Create and develop visual presentations as requested.

· Establish, develop, maintain and update filing system.

· Organize and prioritize large volumes of information and calls.

· Sort and distribute mail and draft written responses as requested.

· Serve as liaison with other departments.

· Handle confidential and non-routine information and explain policies when needed.

· Other duties as assigned.

RequiredKnowledge, Skills and Abilities:

· Strong administrative skills.

· Proven ability to adhere to tight deadlines.

· Strict attention to detail.

· Africa-related experience preferred.

· Experience with SharePoint desirable.

· Excellent oral and written communication skills.

· Strong interpersonal skills and the ability and willingness to work with all levels of the organization.

Minimum Requirements:

· At least 8 years of experience in bookkeeping, accounting, financial planning and/or contracting.

· Strong knowledge of contracting and budgeting operations.

· Demonstrated ability to respond to new or different requirements in a timely manner.

· Full proficiency with Microsoft Office, particularly Word, Excel and PowerPoint.

· Must have experience with the Defense Travel System (DTS), Joint Travel Regulations and Joint Federal Travel Regulations.

· Oral and written fluency in English required. Fluency in French and/or Portuguese preferred.

Education: Bachelor’s degree in management, business, international studies, political science or related field required. 7+ years of experience may be substituted for education.

Working Environment: Work is typically performed in an office environment.

Physical Requirements: This is largely a sedentary position that requires the ability to speak, hear, see, and lift small objects up to 20 lbs.

Supervisory Responsibility: This position does not have supervisory responsibilities.

Travel: International travel may be required.

Work Authorization: Candidate must be authorized to work in the U.S.A.
