Overview: IBTCI is seeking an Events and Program Planner to perform administrative, program and logistical support for an anticipated support services contract for the Africa Center for Strategic Studies (ACSS) under the Defense Security Cooperation Agency (DCSA). This position is contingent upon award.
Essential Duties/Tasks and Responsibilities:
· Perform administrative, program and logistical support for ACSS events by scheduling and coordinating workshops, seminars and classes conducts by ACSS.
· Work with staff members throughout the Center and US Embassy personnel to ensure timely administrative and logistical support in order to maintain scheduled activities.
· Coordinate logistical support for ACSS activities to include publications, research support, meetings, interpreters, copyright clearance, shipping equipment and supplies to/from the seminar site, local transportation and communication assets.
· Serve as liaison for logistical activities with convention and banqueting staff at the hotel(s) and/or conference center.
· Compare program budget with anticipated expenditures.
· Provide written after-action reports that identify objective review with what wen well and where improvements can be made.
· Maintain files (electronic and hard copy) and complete data entry/reporting requirements.
· Travel is essential and will require travel throughout Africa. This may include fragile and/or conflict-prone zones.
· Other duties as assigned.
RequiredKnowledge, Skills and Abilities:
· Proven ability to adhere to tight deadlines.
· Strict attention to detail.
· Experience executing events in Africa highly preferred.
· Excellent oral and written communication skills.
· Strong interpersonal skills and the ability and willingness to work with all levels of the organization.
Minimum Requirements:
· Demonstrated experience evaluating and analyzing programs.
· Demonstrated ability to respond to new or different requirements in a timely manner.
· Full proficiency with Microsoft Office, particularly Word, Excel and PowerPoint.
· Oral and written fluency in English and French required.
Education: Bachelor’s degree AND 3+ years of experience in event management, contract execution, vendor/services procurement conference planning and similar forms of logistical support required. 10+ years may be substituted for education.
Working Environment: Work is typically performed in an office environment.
Physical Requirements: This is largely a sedentary position that requires the ability to speak, hear, see, and lift small objects up to 20 lbs.
Supervisory Responsibility: This position does not have supervisory responsibilities.
Travel: International travel may be required.
Work Authorization: Candidate must be authorized to work in the U.S.A.
