Position Summary
International Business and Technical Consultants Inc. (IBTCI) is currently looking for a dedicated Administrative Assistant to support a five-year USAID-funded project based in Accra, Ghana. The Administrative Assistant will be hired for the duration of the project and will support IBTCI by supporting all office operations and maintaining efficiency in the workplace. The position is only open to current residents of Ghana.
Responsibilities
The Administrative Assistant will perform a full range of administrative functions and will be responsible for ensuring that any administrative issues related to the project are addressed and resolved in a timely manner. The Administrative Assistant will perform the following duties, responsibilities, and activities which include but are not limited to:
· Support the management team with logistics around visitors, office meetings and trainings.
· Provide administrative support to the office manager, management team and other staff.
· Assist in scheduling and organizing activities such as meetings, travel, bookings for hotels, airport pick up, conferences and department activities for all team members.
· Purchase and store supplies so that office necessities are readily available.
· Provide support with incoming and outgoing mail, faxes, and deliveries.
· Answer phones and emails in a professional and timely manner.
· Coordinating printing, mailing, photocopying and general administrative support.
· Support the maintenance of both hard and soft (electronic) Filing system following company protocols.
Maintain management tools and logs to communicate current status of operations to senior staff.
· Adhere to all IBTCI and USAID standard operating procedures.
Qualifications
· Bachelor’s degree or equivalent experience.
· Minimum 3-5 years of related administrative experience, preferably with USAID contracts or international organizations.
· Strong interpersonal skills.
· Excellent written and verbal communication skills.
· A high degree of proficiency with Microsoft Windows, Word, and Excel.
· Effective time management and planning.
· Fluency in French not required but an added benefit.
